Who we are
Tourney Trail (tourneytrail.com) helps families plan travel to youth sports tournaments. This policy explains what information the app collects, why, and what you can do about it.
Made for parents, not children
Tourney Trail is meant to be used by parents, guardians, coaches and team managers. It is not designed for children to use directly, and children should not create accounts. Information about a child (a player) is entered by the parent or guardian, who controls it.
Account information
When you sign up we collect your email address and password (the password is stored encrypted by our login provider; we never see it), plus the details you type on the sign-up form: your full name, your player's name, phone number, team name and your role (parent, coach, etc.).
If you choose "Continue with Google" or "Continue with Apple", that company shares your name, email address and (for Google) profile picture with us. We use them only to create and sign in to your account.
Player profiles and documents
Parents can add player profiles: name, birth date, team(s), age group, jersey number, a photo, medical notes, and documents such as player passes or medical release forms (with optional expiration dates). Only the parent who added them can see them.
Emergency card
Each trip has an optional emergency card where you can enter insurance company and member ID, doctor and doctor's phone, allergies, medications, an emergency contact, passport notes and other notes. It is saved with that trip, so people you have invited to the trip can see it. You can also download a game-day card to keep on your own phone; that copy stays on your device until you delete it.
Your location
Only when you tap "Use my location" (for example to find nearby places or plan a drive), your phone asks your permission and shares your current position. We send it to Google Maps to find places and routes near you. We do not track your location in the background.
Trips, teams, chat and photos
We store the trips you create: tournament link, dates, city and venue, flights, rental car, hotel, budget, packing list, games and schedule, food and day plans, and photos you upload (cover photos, schedule photos). Trip details are visible to you and to the people you invite to that trip or to its linked team.
For teams we store the team name, club, age group, color and logo, the member list (name, email, phone, role and kids' names you add), invite links, team dinners and RSVPs, and a linked TeamSnap or Spond calendar link if you add one. Team chat messages and the files or photos shared in them are visible to team members; private messages are visible only to the sender and recipient. You can report an inappropriate message or block another parent: reports are stored so we can review them, and blocking hides that person's messages from you.
AI features
When you paste a tournament link, upload a flight, hotel or schedule screenshot or confirmation, ask the trip assistant a question, or request food and day ideas, we send that content (and the related trip details) to an AI service to read it or write an answer. We use it only to give you that result.
Affiliate links and click tracking
Some buttons (such as "Book on Expedia") are affiliate links: we may earn a commission if you book, at no extra cost to you. When you tap one, we record which section it was in (hotel or car), the trip it came from and the time, so we can count clicks. We do not record who you are with that click. Once you open a partner's site (Expedia, Kayak, Turo, Enterprise, Stay to Play, airlines and others), that company's own privacy policy applies.
Services we share data with
We do not sell your data. We share it only with the services that run the app: Lovable Cloud (our hosting, database, file storage and login, which keeps all account, trip, team, chat and photo data); Apple (Sign in with Apple — Apple shares only the name and email you choose to share when you sign in); Google (Google Sign-In; Google Maps, Places, Routes and Weather for addresses, nearby places, drive times and forecasts; and Google Fonts, which loads the app's fonts); the Lovable AI Gateway and the AI model providers behind it (for the AI features above); Firecrawl, which may be used to read the tournament web pages you paste; and TeamSnap or Spond, only if you connect your team's calendar link, which we read to show your schedule.
The app also saves a few small settings on your device (your language, reminder settings, last home city, and pending invite links). We do not use advertising trackers.
How long we keep data
We keep your information for as long as your account exists, so your trips and teams are there when you come back. Things you delete yourself (a trip, a player, a document, a message) are removed when you delete them. Team invite links expire after 60 days. Affiliate click counts are kept without your name.
Deleting your account and data
You can delete trips, players, documents, messages and team memberships yourself inside the app at any time. To delete your whole account and all of its data, open My account (link at the bottom of every page) and tap "Delete my account", or email support@tourneytrail.com from the email address on your account. Deleting your account also deletes teams you created and your messages in team chats.
Security
Your data is protected by access rules so only you, and the people you invite to a trip or team, can see it. Photos and documents are stored privately and opened with short-lived links. No system is perfectly secure, so please don't store anything you wouldn't want shared with your trip or team.
Your rights in Europe (GDPR)
If you live in the European Union or the European Economic Area (including Spain), the General Data Protection Regulation (GDPR/RGPD) gives you extra rights over your personal data.
Legal basis: we process your data because it is needed to provide the service you signed up for (your account, trips, teams and chat), and with your consent for optional features you turn on yourself, such as using your location, connecting a TeamSnap or Spond calendar, or filling in the emergency card. You can withdraw that consent at any time by turning the feature off or deleting the information.
Your rights: you can ask to see the data we hold about you (access), fix it (rectification), delete it (erasure), receive a copy to take elsewhere (portability), limit or object to how we use it, and not be subject to decisions made only by automated systems. Most of this you can do yourself inside the app — your profile, players, documents, trips and messages can be viewed, edited and deleted there, and My account deletes everything. For anything else, email us.
Children's data: information about players (children) is entered and controlled by their parent or guardian, who can edit or delete it at any time. We do not collect data from children directly.
International transfers: our hosting and the services listed above may process data outside the EU (for example in the United States). When they do, they are covered by appropriate safeguards such as the EU–US Data Privacy Framework or standard contractual clauses.
To exercise any of these rights, email support@tourneytrail.com from the address on your account. You also have the right to complain to your local data protection authority — in Spain, the Agencia Española de Protección de Datos (aepd.es).
Changes and contact
If we change this policy we will update the date at the top. Questions or requests: support@tourneytrail.com.
